The suppliers we trust to visit our sites and speak to our customers are a reflection of Clear Building Management.
We get many applications from contractors and use strict vetting procedures to ensure only those who share are core values are added to our panel.
All contractors once accepted to our panel undergo a probationary period and must ensure all necessary documents, insurance, memberships are provided at least 14 days before their expiry. We will automatically block your supplier account if any of the required information is missing, incomplete or overdue and you will not be able to work on any of our buildings until this is resolved.
In return we will not allocate work orders where there are no funds for the works being requested and we will settle all invoices submitted in a calendar month no later than the end of the next calendar month. (i.e. Invoice received by us in January you will be paid by end of February).
To be considered to join our panel:
You must supply audited accounts for the last 2 financial years (and management accounts for the current period if requested)
You must supply 4 independent references of previous relevant and similar works.
You must supply bank and accountants references.
All staff must wear uniforms and carry ID at all times you should only supply a courteous, trustworthy and experienced workforce
You must agree not to park in any residents’ parking space and keep disruption to an absolute minimum.
Work must be carried out during reasonable working hours (except emergency repairs) and never before 8am Mon-Sat, 9am Sun & Bank Holidays or after 8pm.
You must subscribe to Clear Building Managements Equality & Anti-Discrimination policy and evidence that all staff are trained, understand and committed to our beliefs and policy.
You must commit to responding to all request for quotes and work orders within 1 working day, and using our @home online portal to input/upload all quotes, updates, job sheets and invoices.
You undertake to maintain suitable Public Liability Insurance cover for the trades undertaken to a minimum of £5 Million (higher limits may be required for certain sites) and to immediately notify us if you cancel the policy, default on payments or the insurer withdraws cover before the expiry date listed on the policy.
You undertake to not sub-contract any jobs without our prior written approval (all sub-contractors to be subject to the same terms and conditions) and you must comply, where applicable, with the requirements of Her Majesty’s Revenue and Customs (HMRC) under the Construction Industry Scheme.
You undertake to maintain adequate Employers Liability Insurance cover for the trades undertaken to a minimum of the current legal minimum of £10 Million and to immediately notify us if you cancel the policy, default on payments or the insurer withdraws cover before the expiry date listed on the policy.
Be a member of relevant trade organisations wherever possible
Comply with all health and safety codes and regulations and supply an up to date copy of your Health & Safety policy (and any updates versions as soon as they are published).
You must provide a safe working method statement and at all times comply with the latest Construction (Design and Management) Regulations.
All work completed should provide value for money and you should indemnify the client and Clear Building Management as the manager in full against all charges and expenses arising from claims which may be made against them as a result of the work carried out.
